Refund & Cancellation Policy

The Warriors Martial Arts Karate Academy values your commitment to martial arts training. This Refund and Cancellation Policy outlines the terms for membership cancellations, refunds, and related matters.
Important Notice: Please read this policy carefully before enrolling. By enrolling, you acknowledge and agree to these terms.
1. Membership Plans
We offer the following membership plans:
- Monthly Membership: Paid monthly in advance
- Quarterly Membership: Paid for 3 months in advance
- Half-Yearly Membership: Paid for 6 months in advance
- Annual Membership: Paid for 12 months in advance
2. Trial Classes
2.1 Free Trial Policy
We offer a FREE trial class for new students to experience our training before committing to membership. This allows you to evaluate our programs without financial obligation.
2.2 Trial Class Terms
- One free trial class per person
- Must be scheduled in advance
- No refund applicable (as it's free)
- Trial does not guarantee enrollment in specific time slots
3. Cancellation Policy
3.1 Cooling-Off Period (7 Days)
You may cancel your membership within 7 days of initial enrollment for a full refund, minus:
- Any classes already attended
- Registration/administrative fees (if applicable)
- Payment processing fees
3.2 Cancellation After Cooling-Off Period
After the 7-day cooling-off period:
- Monthly Membership: 30 days written notice required. No refund for the current month.
- Quarterly/Half-Yearly/Annual Membership: 30 days written notice required. No refund for unused months (see exceptions below).
3.3 How to Cancel
To cancel your membership:
- Submit written cancellation notice via email (contact@thewarriors.in) or in person
- Include: Full name, membership number, reason for cancellation, preferred last day of attendance
- Cancellation becomes effective after 30 days from receipt of notice
- Continue attending classes during the notice period
4. Refund Policy
4.1 Refundable Situations
Refunds may be provided in the following circumstances:
Medical Reasons
- Long-term illness or injury preventing participation (medical certificate required)
- Refund: Pro-rata for unused months (minimum 3 months unused)
- Processing fee may apply
Relocation
- Permanent relocation outside Lucknow (proof of address change required)
- Refund: Pro-rata for unused months (minimum 3 months unused)
- Processing fee may apply
Academy Closure
- If the academy permanently closes or discontinues the program you enrolled in
- Refund: Full pro-rata refund for unused period
4.2 Non-Refundable Situations
Refunds will NOT be provided for:
- Change of mind or lack of interest
- Inability to attend due to work, school, or personal commitments
- Dissatisfaction with instruction or progress (contact us first to resolve concerns)
- Disciplinary termination or violation of terms
- Unused classes in monthly memberships
- Registration fees, uniform costs, or equipment purchases
- Classes missed due to personal reasons (vacation, illness, etc.)
5. Freeze/Hold Policy
5.1 Membership Freeze
You may freeze your membership for:
- Medical reasons: Up to 3 months with medical certificate
- Personal reasons: Up to 1 month per year (fee may apply)
- Advance notice: Minimum 7 days required
5.2 Freeze Terms
- Membership period is extended by the freeze duration
- No refund for freeze period
- Cannot attend classes during freeze period
- Maximum 2 freezes per year
6. Class Cancellations by Academy
6.1 Academy-Initiated Cancellations
If we cancel classes due to:
- Instructor unavailability
- Facility issues
- Inclement weather
- Public holidays
6.2 Compensation
We will provide:
- Make-up classes at alternative times
- Extension of membership period
- Credit toward future months
- No cash refund unless cancellations exceed 20% of scheduled classes in a month
7. Payment Terms
7.1 Payment Methods
- Cash payments at the academy
- Bank transfer/UPI payments
- Online payment through our website (if available)
7.2 Payment Processing
- All fees must be paid in advance
- Late payments may result in suspension of membership
- Returned checks/failed payments may incur additional fees
8. Refund Processing
8.1 Timeline
Approved refunds will be processed within:
- 7-14 business days for bank transfers
- 15-30 business days for cash refunds
8.2 Method
Refunds will be issued via the original payment method whenever possible.
8.3 Processing Fees
A processing fee of ₹500 or 5% of the refund amount (whichever is lower) may be deducted from refunds.
9. Special Circumstances
9.1 Military Deployment
Active military members deployed outside Lucknow may receive a full pro-rata refund with proper documentation.
9.2 Family Circumstances
In case of family emergencies or exceptional circumstances, contact us to discuss options. We will review on a case-by-case basis.
10. Dispute Resolution
If you have concerns about billing, refunds, or cancellations:

- We will investigate and respond within 7 business days
- If not resolved, we will arrange a meeting with management
- All decisions made by academy management are final
11. Modifications to This Policy
The Warriors Academy reserves the right to modify this Refund and Cancellation Policy at any time. Changes will be effective immediately upon posting on our website. Existing memberships will be governed by the policy in effect at the time of enrollment unless otherwise agreed in writing.

14. Governing Law
This Refund and Cancellation Policy is governed by the laws of India and subject to the jurisdiction of courts in Lucknow, Uttar Pradesh.
